Purchase order receipt

Purpose

Purchase Order Receipts is used to record that a supplier has fulfilled all or part of a commitment by delivering items or services ordered on a Purchase Order. Items can be received into inventory or, in the case of subcontract items, directly into work in process.

Method  

Order:  Select or Type in the PO number to be received. Number can be found on the Supplier’s goods received note or by selecting the appropriate PO number from the magnifying glass dropdown.

Press enter or Click on Next to continue.

Packing Slip:  Enter the Goods Received Note number (GRN No) or packing slip number from the supplier’s paperwork.  

Receiver:  Leave BLANK, the system will assign the next Receiver number automatically.

Effective Date:  Leave at current date default.

Move to Next Operation:  Leave set at default of Yes

Receive All:  Leave set on default of No

Comments: Leave set on default of No

Ship Date:  Leave <Blank> - this field is not required.

Press enter or Click on Next to continue.

Receipt Date: This will default to today’s date. If there is any delay between the actual receipt of the goods and the completion of the purchase order receipt screen,  then this date should be amended accordingly to ensure supplier performance records are correct. 

Line: Select appropriate line for receipt, use the lookup if there are more lines on the PO than can be viewed in the above ‘data frame’.

Press Enter or Click on Next to continue.

Quantity:  Enter the quantity being received.  This field drives inventory.

Packing Qty: Leave blank, as this field is not required.  

Cancel B/O: This field will always remain set to No to ensure that any un-shipped quantities remain open on back-order.

UM: Accept default from Item UM

ID: For a subcontract receipt, enter the cumulative order ID associated with this subcontract purchase order. For ordinary PO receipts, leave blank.

OP: For a subcontract receipt, enter the routing operation number. For all standard PO receipts, leave blank.

Site: Accept default.

Location: Enter location into which you wish to receive the items. Use magnifying  glass to select location if required.

Lot/Ser: If a single lot/serial number is being received, details can be entered here. If multiple lot/serial numbers are being received, use Multi-Entry field. If no lot/serial numbers are required, please leave blank. 

Reference:  If a single reference number is being received, details can be entered here. If multiple reference numbers are being received, use Multi-Entry field. If no reference numbers are required, please leave blank. 

Supplier Lot: Optionally, enter supplier lot number

Multi Entry: If multiple lot/serial or reference number entries are required, set this flag to Yes, otherwise, leave set to No.

Chg Attribute: Attributes should not be changed at receipt stage, so leave set to No.

Comments: Comments are not required and will be left set to No.

Press enter or Click on Next to continue.

 

Receipt quantity has now been populated in the ‘data frame’

Press Enter or Click on Next to continue

Click on Yes to view the Purchase Order lines being received.

 

Press enter or Click on Next to continue.

If all information is correct, Press Yes to continue. If not, press No to return to correct the incorrect data.

Press enter or click on next to continue.

 

Please note, the Receiver number has now been automatically updated and the receipt has been completed.
